Strategies define how your AI SDR should handle conversations with leads. They help you control the tone of the replies, provide clear instructions, and determine the main outcome the AI SDR should work toward.
By creating different strategies, you can adjust the AI SDR’s approach depending on the campaign, audience, or goal. For example, one strategy can focus on booking meetings, while another can guide leads toward a phone call.
Let’s see how to create and manage your strategies. 🚀
Open the AI SDR Strategies
Navigate to the AI SDR tab and select Strategies.
Here, you’ll see all the strategies that have already been created. To add a new one, click the + Create button in the upper-right corner.
Create a New Strategy
After you click + Create, a new window will open where you can configure how the AI SDR should communicate with your leads. ✨
Strategy Name
Start by entering a clear and recognizable name for your strategy.
Choose a name that describes its purpose so that you and your team can easily identify it later.
For example:
- Book a Demo
- Schedule a Discovery Call
- Friendly Follow-Up
- Qualify Interested Leads
The strategy name can contain up to 250 characters.
Tone of Voice
Next, select how the AI SDR should sound when replying to leads.
You can choose from the following options:
- Professional – Clear, polished, and business-oriented
- Friendly – Warm, approachable, and conversational
- Casual – Relaxed and informal
- Formal – Structured and more traditional
- Concise – Brief and focused on the most important information
Choose the tone that best matches your brand, audience, and communication style. đź’¬
Instructions
Use the Instruction field to explain how the AI SDR should manage conversations.
Here, you can define:
- The main purpose of the conversation
- How the AI SDR should communicate
- Which topics it should prioritize
- How it should respond to objections
- Which next steps it should suggest
- Any rules or limitations it should follow
The more specific your instructions are, the better the AI SDR can follow your preferred approach.
For example:
Guide interested leads toward booking a short product demo. Keep the conversation friendly and natural, answer their questions clearly, and avoid being too pushy. When a lead shows interest, suggest scheduling a meeting using the available booking link.
The instruction field supports up to 2,000 characters.
Select the Strategy Goal
The goal defines the main outcome the AI SDR should try to achieve during the conversation. 🎯
You can select one of the following options:
Schedule a Meeting
Choose this option when the AI SDR should guide the lead toward booking a meeting, demo, consultation, or discovery call.
Schedule a Phone Call
Use this option when the preferred next step is arranging a phone conversation with the lead.
Custom
Select Custom when your strategy has a different objective.
For example, the AI SDR could focus on:
- Qualifying the lead
- Collecting additional information
- Confirming interest
- Directing the lead to a specific resource
- Encouraging the lead to start a trial
When using a custom goal, make sure the expected outcome is also clearly explained in the instructions.
Save Your Strategy
Once all the information has been added, click Create strategy.
Your new strategy will appear in the Strategies list and will be available when configuring the AI SDR.
Before saving, take a moment to check that the tone, instructions, and goal support the same objective. This helps the AI SDR respond more consistently and naturally. âś…
Manage Existing Strategies
All created strategies are displayed under the Strategies tab.
Each strategy provides a quick overview of its setup, including its:
- Name
- Tone of voice
- Selected goal
- Instructions, when included
To manage a strategy, open it from the list. Inside, you’ll find two tabs: Settings and Reply handling. 👇
Settings
The Settings tab allows you to review and update the main strategy configuration, including:
- Instruction
- Tone of voice
- Goal
You can also rename the strategy by clicking the pencil icon next to its name at the top of the page.
After making any changes, click Save to apply them.
Reply Handling
The Reply handling tab gives you more control over how the AI SDR responds when a lead mentions a particular topic, asks a common question, or expresses a specific intent.
For example, you can create reply handlers for questions about pricing, product features, integrations, free trials, or common objections. This helps the AI SDR provide more relevant and consistent replies in specific situations. ✨
To add one, click + Create reply handler and complete the following fields:
- Topic or intent – Enter what the lead may ask or mention, such as What is your pricing?
- Response instructions – Explain how the AI SDR should handle and respond to the topic.
- Example reply – Add an example of an appropriate response to help guide the AI SDR.
For example, when a lead asks about pricing, you can instruct the AI SDR to explain that the price depends on the selected plan instead of immediately providing a fixed amount. You can also include an example showing how it should naturally continue the conversation.
Once everything is ready, click Create.
Edit or Delete a Reply Handler
All created reply handlers are displayed under the Reply handling tab.
To manage an existing reply handler, click the three-dot menu on its right side. You can then select:
- Edit – Update the topic or intent, response instructions, or example reply.
- Delete – Permanently remove the reply handler.
When you select Edit, the existing information will appear in the editing window. Make the necessary changes and click Save to update the reply handler. âś…
Creating separate strategies for different audiences and adding reply handlers for common questions can help your AI SDR communicate more naturally while following your preferred sales approach.
