Replying to every lead can take a lot of time, especially when your inbox starts filling up. That's why we introduced AI SDR Responder—your AI-powered assistant that can handle conversations for you while keeping replies natural, relevant, and on-brand.
You can choose between two modes:
Automatic – AI SDR replies to your leads on its own, so you can focus on other tasks. ⚡
Semi-Automatic – AI SDR prepares a reply for every message, but you'll have the final say before it's sent.
No matter which option you choose, AI SDR generates replies based on the information you provide in your Knowledge Base, Strategies, and AI Training Set. The more information you give it, the smarter and more personalized its responses will become.
Let's go through each section so you can get the most out of your AI SDR.
1. Knowledge Base
The Knowledge Base is where you teach AI SDR everything about your business. Think of it as the source of truth that AI uses to answer your leads accurately and consistently.
We recommend adding as much relevant information as possible, including:
Product or service descriptions
Pricing information
Frequently Asked Questions (FAQs)
Key features and benefits
Common objections and how to answer them
Policies, processes, or anything else your leads may ask about
You can upload documents in PDF or TXT format, making it easy to provide detailed information without typing everything manually.
Core Offer
The Core Offer is the one piece of information AI SDR will always reference when talking to your leads.
Keep it short and clear—just a few meaningful sentences explaining what your product or service is and the value it provides. This helps AI SDR stay focused and communicate your offer consistently throughout every conversation.
2. Strategies
The Strategies section tells AI SDR how it should communicate—not just what it should know.
Here you can define the rules and goals for every conversation, such as:
Your main objective (book a meeting, qualify a lead, answer questions, etc.)
Lead qualification criteria
Preferred next steps
Tone of voice and writing style
How to handle common objections
When to share links or additional resources
Any other communication guidelines you want AI SDR to follow
You can also add your meeting scheduling link here. Once it's added, AI SDR can automatically share it with qualified leads, making it easier for them to book a call with you. 📅
3. AI Training Set
The AI Training Set helps AI SDR improve over time.
Whenever you review and edit AI-generated responses, those approved replies are stored here as Reviewed Responses. AI SDR uses them as examples to better understand your communication style and gradually respond more like you would.
The more responses you review, the better AI SDR becomes at matching your tone, messaging, and preferred way of communicating. 💡
Let's show you an example of how the AI SDR will us the all 3 options and write the correct reply:
A lead asks: "How much does your product cost?"
AI SDR checks the Knowledge Base for pricing information.
It follows your Strategy to decide whether to qualify the lead first or answer immediately.
It uses examples from the AI Training Set to write the response in your preferred tone.
The result is a reply that's accurate, aligned with your sales process, and sounds like your team.
Best Practice
💡 If you're just getting started, we recommend enabling Semi-Automatic Reply mode and using the Default AI Training Set first.
The Default training set has already been trained by our team and provides a great starting point, allowing you to see how your AI SDR responds before investing time in training your own model.
If you find that the responses don't fully match your communication style or business needs, you can create your own AI Training Set. Then, simply review every AI-generated reply in Semi-Automatic Reply mode and provide feedback on both good and bad responses. Approve replies that meet your expectations, edit the ones that need improvement, and reject responses that aren't appropriate.
Over time, your custom training set will learn from your feedback and gradually adapt to the way you communicate, helping your AI SDR generate replies that sound more like you. Once you're confident in its performance, you can switch to Automatic mode.
